Easy Day Organizer Notion Template: Documentation

We often keep delaying our work because we have so little time to do it, especially when we don’t have the right organization in our timetable. Be it studying, freelancing, or managing our day-to-day schedules, a day organizer can make our lives simpler. So, we introduced the “Easy Day Organizer” Notion template, and it is just the way it sounds: easy and organized.

Now, we are not saying this is the perfect day organizer Notion template, but it definitely is one of the easy-to-use templates with the least complications. Also, we are trying to make it much better, and it is still version 1.0. As of now, it is properly focused on helping you tackle most of your daily tasks, be it meetings, studying, or doing house chores. If you need a broader template that can help you plan your week, we are working on creating an Easy Week Planner, which helps you plan your entire work-week, Monday to Sunday, including refilling your daily use items, creating a weekly shopping list, managing budget, and a lot more. But for us to help you notice this template, you will have to subscribe to us; please leave your email here – Subscribe to Notion Yelp.

In this template, we are featuring a couple of interconnected databases, a few note tabs, and a couple of to-do lists. We will discuss each of the sections in this template alongside how to use it and customize it as per your preference.

Overview: Easy Day Organizer – Version 1.0

Primarily, there are three databases in the Easy Day Organizer template: Appointment & Meetings, Day Activities, & Expense Tracker.

The Appointment & Meetings database is majorly for those who have their own business or work at a company or organization. If you are a student or someone who doesn’t relate to this database, you can leave it untouched or even delete it, as it is totally independent and is designed in such a way as to offer you some sort of flexibility.

The Day Activities database is the major database where you can add a task for your day and use parameters like priority and status to organize all your tasks.

Finally, the last primary database we have is the Expense Tracker database, which allows you to list all your daily expenses and then finally get a detailed monthly expense report.

Let me walk you through each database and all the sections, along with their importance in this template.

Understanding the Easy Day Organizer Dashboard

It’s time we make this template familiar so you can readily start using it without any complications. 

The first and foremost section we have is the “Quick Actions” section, which allows you to quickly add a new task event, new appointment, or a new expense to your databases. The whole purpose or idea of having this section is to save time scrolling down and looking for the database to add your new entry.

The buttons in this section are configured already; all you need to do is tap on it and make it your entry.

Followed by this section is the quote block featuring a famous Japanese proverb. We personally follow this quote in our daily lives to keep us motivated and growing and not look down on ourselves. Hopefully, this quote motivates you in the same sense as it does to us. 

1. MITs and ITs Table View

Most Important Tasks and Important Tasks Database

MITs (Most Important Tasks) and ITs (Important Tasks) are the filtered table views of our day organizer. The purpose of this table view is to give you a quick eye on the most important tasks for the day so you can prioritize them first before anything else less important. Also, filtering or navigating through the day planner each time you wish is a tedious job, so we just used the “Priority” filter and filtered out the “most important tasks” and “important tasks” into two views so you can quickly view without having to scroll through all the other events of your day.

2. To-Dos, Workout Planner & Daily Goals

Our Easy Day Organizer template also features three to-do lists, which should help you grow and stay disciplined while completing your daily tasks. Among these, Daily Goals and Workout Planner can be used as pre-defined to-dos, meaning you can complete them every day and uncheck them again so you can use them for the following day. 

We have already defined the workout planner and daily goals list for you. Feel free to make it more personalized to your needs and requirements.

On the other hand, to-do lists for the day are varying lists, and this list can be used to list chunky tasks that do not need assigning priority or setting up a meeting date or appointment. You can delete the items from this list at the end of the day once they are completed and create To-Dos for the next day.

3. Appointment and Meetings

The next database on our list is the “Appointment & Meetings” database, and this database is perfect for those who are always busy with work and need a mini secretary to organize meetings and appointments for them.

We have eight parameters in this database, which helps us organize the appointments and meetings in a better way. The first parameter is the name/label, which acts as an identifier to know which meeting we are referencing.

Since we are scheduling a meeting or an appointment, it is necessary to assign a date and time for our meeting. You can also set a reminder for the schedule or the appointment by tapping on the date and choosing the “Remind” option to set the reminder frequency. Once you set the date, you can set the status of the meeting. Here, we have four status options: canceled, not started, in progress, and completed. This should help you filter all your meetings and get access to them as and when needed.

Then we have “attendees,” where we can mention all the people who are going to attend this meeting; this turns out crucial as it helps limit meeting members to its relevancy and needs.

The fifth parameter in this database is the “Location,” as you may not always have a meeting at one place, and with the location parameter, you can plan your meeting in advance (if you need to make travel arrangements).

The last three parameters are meeting type, organizer, and URL, which are metadata to understand the nature of the meeting, who is organizing it, and the URL of the meeting if it is a virtual meeting.

3.1 Meeting Purpose Template

The Meeting Purpose template is a sub-page of each meeting or appointment you create in the “Appointment & Meetings” database. We created this sub-page template to help you quickly take down the meeting information without having to create headings or make lists each time.

To make this sub-page helpful, we first have a block for the “Meeting Purpose” where you can quickly describe the meeting information and how important it is to you. Feel free to keep it personal if you are not going to share your database with colleagues or friends.

Then, we have three more blocks for topics, subjects, notes and action items. These blocks help you quickly make a note of the meeting in relation to what topics are being discussed, the particular subject or area of the topic, and the relative notes and action items. Keep these blocks with minimal information, as we have an entire database dedicated to each topic and relative discussions.

The last block of our Meetings template is the “Meetings Details” database, and we have created a sub-page for it as well.

3.1.1 Agenda: Title Sub-Page 

Before heading to the template, let’s quickly discuss the Meetings Details database, which has five parameters: Name, status, date & time, presenter, and quick remarks.

The name parameter can be used to list out meeting details for individual topics so you can have more dedicated information on each topic and not just the whole meeting, which can be vague at times. You can then add the meeting status, date and time, presenter, and quick remarks on the discussed topic. The quick remarks parameter is one of the most helpful parameters as it helps you view the short remarks about the subject without having to go through the entire meeting database.

Coming back to the “Agenda: Title” sub-page in our “Meeting Details” database, here we have added two blocks: Meeting Minutes and Actions & Follow-Ups.

Using these two blocks, you can quickly note down the important information about the discussed topic and then take actions or follow-ups for each topic. These two are, in general, the most common and important factors in any meetings or discussions.

4. Reflections

The next block or section in our template is the “Reflections” database, which we were inspired by our “Mental Wellness Template.” This block is all about expressing your day and reflecting on how you spent it. Such a database is helpful in understanding your behavior and progressively changing it by expressing and understanding it.

We have six parameters in this database and one sub-page/template for every new entry you make. The first parameter is for mentioning the date; this will help you get a clear understanding of how you felt or how you spent your day on a particular date. Following this, we have the “emotion” parameter; this parameter is helpful in expressing your overall mood for the day. Then, we have four checkboxes: Good Food, Good Sleep, Meditation, and Physical Activities, which help you in keeping track of self-care and development.

When you create a new entry in this database, you can find the “New Reflection Template” already applied to your entry. Here, on the left, we have an image block to showcase your memorable picture from the day, and on the right, we have a block where you can express your emotions with an open heart.

To make it more valuable, we have also added an image and video block at the end where you can upload all the pictures and videos of your day so you never forget the memory associated with it.

5. Day Activities Database

This is the major database in our “Easy Day Organizer” template, and we have designed it to list activities or tasks of the day. Most other databases, such as MITs and ITs are table views of this database. To make it efficient and more flexible, we have kept this database as simple as possible.

Day Activities and Pending Work Database

There are four parameters of this database: Name, priority, status, and date. The first parameter, Name, is helpful when writing down your task. For example, buy groceries while coming back from the office, Clean the Bird Feeder, and more. 

The second parameter is “Priority,” which is a select parameter that consists of three options: Least Important, Important, Must, and Should. When you assign your entry an Important or Must and Should option as a priority factor, they are automatically reflected on the top table views: MITs and ITs. This makes it easier for you to complete these tasks first as they are more important. 

You can then assign the status: Not Started, In Progress, and Completed, as per the current status of the task. By default, when you add a task to your day activity, they are assigned a “Not Started” status. The last step is to assign a date to these tasks so you can easily organize them and give them a deadline.

The Day Activities database is designed in such a manner that only those tasks that are assigned for the current date (Today) are visible. If you have an entry with a future date, the task will only be visible in this database once it is that day in the future. 

But what about the tasks that you fail to complete on the assigned date?

6. Pending Work Database

If you fail to complete the task assigned for the given day, it vanishes from the “Day Activities” database. However, you can still know the task and complete it by viewing the “Pending Work” database. This database showcases all the entries of the current, past, and future assigned tasks, and you can view them when you want to clear your pending tasks. Also, this pending task database showcases entries only for the current year and pending tasks. If your task is completed, it won’t be visible under this database.

Once your task is complete, change the status to “Completed,” and the entry will vanish from the “Pending Work” database.

7. Expense Tracker for the Day & Monthly Expense Summary

Planning your day without budgeting shows a wretched financial path, and to fix this, we added a daily expense tracker alongside a monthly summary of your expenses. With the “Expense Tracker for the Day” database, you can quickly add your daily expenses based on category, expense amount, tags, and date.

At the end of the day, you can view your expenses in multiple table views based on categories we created. For instance, click on the “Personal” table view to view all your day expenses under the “Personal” category and likewise with other categories. 

Once you have added this expense, go to the Monthly Expense Summary and, based on the category, choose the new expense entry we just added. Here, the “Monthly Expense Tracker” template consists of several parameters such as Expense Entries, Total Expense, Monthly Budget, Balance, and Date.

7.1 The Expense Entries

The Expense Entries parameter helps you pick the expense entries from the “Expense Tracker for the Day” database, and you have to responsibly pick entries based on the category alongside, such as the personal category should have only those entries that belong to the same month and have “Personal” under the “Category” parameter.

7.2 Total Expenses

Once you add all the entries related to the specific categories into the “Expenses” parameter, the Total Expenses are automatically calculated, which is the sum of these entries. So, it is crucial that you pick only the expense entries related to the specific category and only for the current month. 

7.3 Monthly Budget

The Monthly Budget parameter helps you assign a fixed budget for specific categories for the month. This helps you build financial balance and spend thoughtfully. We will use this parameter with the “Total Balance” parameter to calculate how much you are spending from the budget each month for specific categories.

7.4 Balance

The Balance parameter shows you the balance amount left from the budget once you have made the expense. For instance, if you are spending $20 under the personal expense category and your budget is $100 for the month for this specific category, the balance amount left would be $80. Likewise, if you add another $20 of expense to the personal category, the total expense would now be $40, and the balance amount left would be $60 out of $100.

If you are overspending, the balance amount would be negative, which is a clear sign of the need to control your expenses or increase the budget for a specific category.

8. Photo Gallery for Bad Days

The last section of our Easy Day Organizer template is a cute photo gallery where you can display all your favorite pictures so you can keep going on bad days and celebrate on good days.

The Easy Day Organizer Template is a mobile-friendly template, so you can use all the databases and blocks without any issues. To use this template on Notion for smartphones, download the Notion app on your Android or iOS app through the app store.

  • Did you accidentally delete a page? Open the Easy Day Organizer template and tap on the “three-dot” menu in the top-right corner. Now, choose the “Show Deleted Pages” option and look for the page you wish to restore. You should now be seeing two options: restore and delete. Tap on restore to restore the page and delete if you wish to delete the page permanently.
